Unable to create account as it already exists

Follow the guidance in this article if you are trying to create a new teacher or student account but receive the message that they already exist on the system.

If you are trying to create a new teacher or student account and receive a message that this already exists in the system, there are two possible reason for why this may be:

  • The account was created previously and then deleted, but their data is still present on the backend.

  • Another user has the same email address added.

Previously deleted users

If you are unable to add a new account as it already exists on the system, it is possible it has been imported from the MIS in the past and then deleted.

Because of this, their details are still on the system but you will not be able to see their account on GCSEPod.

If this is the case, please reach out to us via the Digital Assistant and provide us with the full name of the user, as well as their email address. Our Support team will re-enable the account from our end and the user will be able to log in using the same credentials as before.


Search for users with the same email address

It is also possible that another user is present in the system with the same email address, which may be incorrect and will need to be amended.

To check if this is the case:

  1. Go to Monitor, then click All Students or All Teachers depending on the type of account you need to look at.

  2. Click Export.

    • This will download a .csv file containing all students or all teachers. Search within the file for the email address to check if someone else has this assigned.

If you notice that emails are incorrectly assigned, reach out to your MIS manager and ask them to amend the email address in the MIS. Overnight, this will sync to GCSEPod and all students and teachers will have the correct email assigned.
